Olfactory: Essential oils and natural Perfumes

Olfattiva is a craft company based in Romagna, specializing in the creation of botanical perfumes and 100% natural aromatherapy products.

It was founded in 2003 from the shared dream of Barbara Pozzi and Massimo Moretti, cultivated since the 90s: to restore centrality to Nature and the deep relationship it intertwines with human beings.

Olfattiva is made up of a team of 13 people, women and men who believe in the value of shared knowledge, the power of Nature, and the importance of caring for the world we inhabit.

BARBARA POZZI, aromatherapist and founder, leads the company with vision and consistency, supported by specialists in aromatherapy, communication, logistics, design, and training.

The Workshop

L’Opificio Olfattiva, located in Massa Lombarda, Ravenna, is the beating heart of our business. It serves as both our production laboratory, a training facility, and the company's physical sales point.

Here, we handcraft every product, following the rhythm of Nature and the principles of green alchemy. Come visit us!

Customer Care Representative

Role Description:
We are looking for a welcoming, empathetic, and professional individual with good listening skills and clear, correct communication. Precision, organizational ability, and an interest in the world of aromatic plants, essential oils, and botanical perfumery are important.
Main activities:
- Manage customer relationships before, during, and after purchase, fostering a positive experience and an ongoing relationship with the brand;
- Convey the Olfattiva philosophy, the characteristics of botanical perfumes, and the peculiarities of the products, highlighting their ingredients, uses, and benefits;
- Welcome and guide the customer in discovering the world of botanical perfumery and aromatherapy, creating an experience consistent with the brand's values;
- Support the customer in the selection process, providing in-depth information and attentive, qualified service;
- Respond to inquiries received via phone, email, and other company channels, providing timely and personalized assistance;
- Offer personalized consultation by listening to the customer's needs, olfactory preferences, and requirements;
- Manage activities related to orders, shipments, and any post-purchase needs, ensuring attention and promptness in resolving requests;
- Support the customer in the selection process, providing in-depth information and attentive, qualified service;
- Collect feedback and information from customers to contribute to the improvement of service and the overall experience;
- Collaborate with the sales, logistics, and shipping departments to ensure continuity and effectiveness in customer management;
- Maintain the sales point environment to reflect the brand's identity, ensuring order, harmony, and quality of display.
Required qualifications:
- Good knowledge of IT tools;
- Good knowledge of written and spoken English;
- Aptitude for public contact and teamwork;
- Previous experience in customer care, preferably in wellness, cosmetics, or perfumery contexts.

Order Preparation and Shipping Assistant

Job Description:
The successful candidate will join the logistics department and will be responsible for order preparation and shipment management, contributing to ensuring accurate, timely, and efficient service. They will work closely with other company departments to ensure correct order fulfillment and the maintenance of the brand's quality standards. We are looking for an organized, precise, and responsible individual, capable of maintaining attention to detail and order even during peak periods.
Main Activities:
- Manage order preparation activities, ensuring accuracy, completeness, and adherence to fulfillment timelines.
- Pick products and verify the correspondence between selected items, requested quantities, and reference documentation.
- Oversee product packaging, ensuring proper protection and compliance with company quality standards.
- Prepare shipments, managing labeling, shipping documentation, and necessary activities for handover to couriers.
- Collaborate in warehouse stock management, contributing to inventory control, product reordering, and inventory accuracy.
- Maintain organized, tidy, and functional workspaces and the warehouse, in compliance with company procedures.
- Collaborate with the sales, administrative, production, and customer care departments to ensure efficient order management and timely customer service.
- Contribute to the continuous improvement of logistical processes, reporting any anomalies and proposing solutions to optimize work organization.

Packaging and Labelling Operative

Job Description:
We are looking for a precise, organized, and reliable individual, capable of maintaining attention and accuracy even when performing repetitive tasks. Adherence to procedures, product care, and willingness to collaborate with colleagues are important.
Experience in cosmetic or food laboratories, or in packaging departments, is a preferred requirement. We also consider individuals motivated to learn and integrate stably into the work group.
Main activities:
- Carry out product filling, packaging, and labeling activities in compliance with company procedures and quality standards.
- Prepare the materials, components, and packaging necessary for processing, ensuring their correct availability.
- Verify the correct application of labels and the conformity of packaging to company specifications.
- Conduct visual inspection of finished products and packaging, reporting any non-conformities.
- Record activities performed and complete the required documentation, ensuring traceability of operations.
- Maintain work stations, equipment, and production environments clean, tidy, and efficient, in compliance with company procedures.

Cosmetic/Food Laboratory Technician

Role Description:
We are looking for a precise, responsible, and methodical individual, capable of adhering to formulas, procedures, and processing times. Accuracy in data recording, organizational skills, and a predisposition for teamwork are essential.
Main Activities:
- Preparation of concentrates and semi-finished products in compliance with company formulas and procedures;
- weighing and managing raw materials;
- carrying out laboratory productions;
- performing chemical-physical controls and verifying product stability;
- punctual recording of batches, processing, and any modifications;
- preparation and management of samples;
- verification of technical documentation for raw materials;
- control and updating of laboratory stock;
- proper management and cleaning of equipment and environments;
- collaboration with the regulatory department and with individuals involved in product development and control.
Required Skills:
- Education consistent with the role, preferably in chemistry, cosmetics, pharmaceuticals, or biology;
- ability to work in compliance with formulas and procedures;
- precision in managing and recording laboratory data.
- Experience gained in a cosmetic laboratory is a preferential requirement.

E-commerce Manager

Role Description:
To support the growth of our e-commerce, we are looking for a structured, analytical, and proactive individual who can drive the brand's digital strategy 360°. We are seeking an E-commerce Manager who will report directly to the ownership and serve as the point of reference for the brand's entire digital marketing strategy, with a particular focus on data and the ability to translate it into concrete decisions.
Key Responsibilities:
- Define and oversee the e-commerce marketing strategy, in line with commercial and brand objectives
- Coordinate the Adv team (internal and/or external consultants) for planning and optimizing advertising campaigns
- Develop and supervise the social media strategy on Instagram and TikTok, in collaboration with the creative/content team
- Draft and manage the editorial plan for social media channels and other digital touchpoints
- Constantly monitor data and analytics (traffic, conversions, ADV performance, social KPIs), producing clear and action-oriented periodic reports
- Act as a liaison with external consultants for advertising (Meta, Google Ads, etc.)
- Collaborate with the sales team to align digital strategy and sales objectives
- Report directly to the ownership, with regular updates on results, challenges, and opportunities
Required Skills:
- Previous experience in similar roles of e-commerce management or digital marketing management
- Proven experience in defining marketing strategies for digital brands/e-commerce
- In-depth knowledge of social media dynamics (Instagram, TikTok) and editorial logic
- Solid ability to read and interpret data and analytics (Google Analytics, Meta Business Suite, reporting tools)
- Experience in coordinating teams and/or external suppliers (Adv agencies, freelancers)
- Excellent organizational skills, reporting abilities, and communication with various stakeholders (ownership, sales, consultants)
- Autonomy, analytical mindset, and results-orientation
- Desire to discover the world of aromatherapy and deepen knowledge of essential oils through internal courses and self-study
- Experience or sensitivity towards the world of beauty, perfumery, or natural/botanical products is a plus, but not essential

Back Office Sales Employee

Role Description:
Olfattiva, a leading company in natural perfumes and aromatherapy, is seeking a Commercial Employee to manage Back Office operations. This role primarily involves managing and supporting relationships with B2B retailers. The successful candidate will play a key role in retailer relationship management and may also handle e-commerce sales in the B2C sector. The employee will also be responsible for organizing events and trade fairs.
Key Responsibilities:
- Managing the retailer channel, monitoring sell-in and sell-out (where possible), optimizing B2B channel sales performance;
- Supporting back-office activities related to continuous e-commerce updates, contributing to product catalog updates, managing orders and shipments, and monitoring the performance of promotional activities;
- Supporting the preparation of offers, order management, and customer follow-up;
- Coordinating with internal departments (warehouse, logistics, administration) to ensure proper shipment management;
- Supporting the organization and coordination of events, trade fairs, and exhibitions abroad, collaborating with the marketing team to ensure optimal visibility for the Olfattiva brand;
- Collaborating with the marketing department to manage promotions and commercial campaigns;
- Providing assistance in managing post-sales requests and effectively resolving any issues;
- Providing periodic sales performance reports to management.
Required Skills:
- Previous experience in a similar role, preferably in a similar sector (e-commerce, cosmetics, pharmaceutical);
- Knowledge of B2B and B2C sales dynamics;
- Experience in managing events and trade fairs, preferably international;
- Excellent organizational, problem-solving, and priority management skills;
- Good knowledge of English (written and spoken); knowledge of other languages is a plus;
- Knowledge of main IT tools (Office 365, CRM, WordPress);
- Ability to work in a team and interact with external stakeholders (customers, suppliers, international partners).
- Passion for the perfumery sector and interest in natural products
